Customizing Notifications

Only superusers can customize notifications.

On the Settings page, under Setup, go to Notifications. Each assessment series can have a custom set of email notification messages. Choose the assessment series you want to notify about, which event, and the role of the person you are notifying. Then start typing in the subject and body fields to put your own custom messages.

Each different notification message can be individually enabled or disabled. By default, they are all enabled. To disable some of them, select the appropriate values for series, event type and role, uncheck the “Enable Notification” checkbox and click Save.

For your reference, a list of available substitution variables is listed at the bottom of the page. To use a substitution variable, type the entire name of the variable as it appears in the reference chart, in all capital letters, starting with a $ dollar sign.

Survey Launch Notifications - Old UI

When an assessment manager (or superuser) launches a survey, there is a modal dialog where the user can decide whether or not to notify various individuals of the survey being launched. This allows the assessment manager to fine-tune who gets notified of the launch within their unit. However, it is important to realize that if the survey launch notification is disabled in the Settings page for a particular group, the survey launch dialog does not override that.

For example, imagine that the Survey Launched notification for OU Head is disabled in Settings. Then, when the assessment manager for the MYORG unit launches the assessment, she opts to notify OU Heads in the dialog (as shown below). The OU Head of MYORG will not receive a Survey Launched notification, because it was disabled in Settings.

Survey Launch Notifications- New UI

When you create an assessment in the new UI, you can specify survey launch settings on the Finalize step of the New Assessment wizard. You can also specify launch settings at a later time when you launch survey(s) of a published assessment. However, it is important to realize that if the survey launch notification is disabled in the Settings page for a particular group, the survey launch options do not override that.

For example, imagine that the Survey Launched notification for Unit heads (also known as OU Heads) is disabled in Settings. Then, when the assessment manager for the MYORG unit launches the assessment, she opts to notify Unit heads in the launch options (as shown below). The Unit head of MYORG will not receive a Survey Launched notification, because it was disabled in Settings.
